# Forward email from Gmail

## Forwarding from Gmail

This is for a **personal Gmail mailbox** — an @gmail.com account, or a Google Workspace user setting up forwarding for their own mailbox. If your support address is a shared address on Google Workspace and you are an administrator, use routing in the Admin console instead: it belongs to the domain rather than to one person's account, so it keeps working when that person leaves.
### Steps

- In Gmail, click the gear icon, then **See all settings**.
- Open the **Forwarding and POP/IMAP** tab.
- Click **Add a forwarding address** and paste your mailbox's inbound address from **Support Tickets → Settings**.
- Click **Next**, then **Proceed**, then **OK**.
- **Verify the address.** See below — this is the step that catches people out.
- Back in Gmail, refresh the page, then select **Forward a copy of incoming mail to** and choose the address you just verified.
- Leave the next dropdown on **keep Gmail's copy in the Inbox** unless you have a reason not to — it means you still have the original if anything goes wrong.
- Click **Save Changes** at the bottom of the page. Gmail forwards nothing until you do, and the page gives no warning if you navigate away.

### The verification step, in detail

When you add a forwarding address, Gmail emails a verification link *to that address* — which is TotalCtrl, not you. So the link does not arrive in your inbox. It arrives **as a new ticket in the mailbox you are setting up**, from `forwarding-noreply@google.com`.

Open Support Tickets, find that ticket, and click the link inside it. Then return to Gmail and refresh the settings page — the address will be listed and selectable.

If the ticket is not there after a minute or two, the address you pasted into Gmail is almost certainly not the one on the Settings page. Copy it again with the copy button rather than typing it.
### Forwarding only some messages

To send only part of your mail to TotalCtrl — say, messages to a particular alias — leave the blanket forward switched off and use a filter instead. In the Gmail search box choose **Show search options**, enter what should match, click **Create filter**, tick **Forward it**, and pick your address. The address still has to be verified first, exactly as above.
### Things worth knowing

- Gmail forwards mail that arrives *after* you save the setting. It does not send your existing inbox.
- Forwarding stops if the Gmail account is closed or the forward is removed, and nothing tells TotalCtrl that has happened — tickets simply stop arriving. If a queue goes quiet, check this setting first.
- Gmail may stop forwarding after a long run of bounces. Removing and re-adding the address restarts it.
