# How RFP Responses works

**Category:** [RFP Responses](https://help.totalctrl.app/hc/totalctrl/totalctrl-help-center/en-US/categories/rfp-responses)
**Updated:** 2026-10-04

## The shape of the app

There are two levels.

- A **Pursuit** is the opportunity — one buyer, one deal. It has an owner, a client name, a due date, and any deliverables you need to track alongside the questions.
- A **Response** is one document inside that pursuit: the RFP itself, an RFI, a security questionnaire, a due-diligence pack. Most pursuits have more than one, and each is answered and exported separately.

### The path through it

- **Upload** the buyer's file. We read it and show you what we think the questions are.
- **Confirm** the layout — you tell us which columns hold the questions before anything is extracted.
- **Draft** answers. Approved answers are reused first, then answers are written from your knowledge sources. Anything unsupported is flagged for a person.
- **Assign and review** — route questions to the experts who own them, and have a reviewer approve.
- **Sign off**, then **export** back into the buyer's own file.

You can enter and answer questions by hand at any point. Nothing requires an uploaded document.
