# Who can see and change what, including contractors

**Category:** [Resource Planning](https://help.totalctrl.app/hc/totalctrl/totalctrl-help-center/en-US/categories/resource-planning)
**Updated:** 2026-08-19

## Three tiers

- **Planner** — a workspace admin. Sees everyone, and edits allocations, other people's leave, capacity and settings.

- **Member** — sees their own schedule and books their own time off.

- **Guest** — a contractor. Exactly the same as a member and nothing more.

## A member who lands on the grid

They are sent to **My schedule** rather than shown a permission error. They were not doing anything wrong; the workspace grid is simply not their page.

## Contractors get their own schedule, and only that

A guest fenced to a single app — Issues, say — can still reach **My schedule** to see what they are booked on, and can book and cancel their own time off. Those are the only exceptions.

Every other Resource Planning route is planner-only, and guests are also left out of the planning roster itself. That second part matters: the grid names every colleague and every project you have, and hiding it in the markup is not access control. They are excluded from the query.

## Nobody's own leave approves itself

Time off booked by a member or a guest is saved as **pending**, so it does not change anybody's availability until a planner approves it. A planner's entry — their own or somebody else's — is approved as it is saved.

## No cost or margin, at any tier

Resource Planning shows hours. It never shows cost rates, and it never shows margin, not even to a planner. Those live in Time Tracking's profitability pages behind their own admin fence, because a cost rate is effectively somebody's salary.

## What is recorded

Allocations created and removed, time off created and removed, capacity changes and settings changes all write an audit-log entry naming who did it. If somebody asks later why a person was booked on a project in March, the answer exists.

## On the dashboard

**My week** is available to everybody — it is self-scoped, shows only your own bookings, and marks a soft allocation as tentative while leaving it out of the committed total. **Team utilization** is admin-only and names its denominator in the label, for the same reason the page does.
